TERMS AND CONDITIONS

BOOKING, PAYMENT, CANCELLATION and REFUND POLICY 

To book an event, a 25% deposit will be required once we've confirmed availability for your requested date and time. The remaining balance is due 5 days before the event. There will be a $50 cancellation fee for all parties or events canceled after deposit and/or full payment is received. The following forms of payment are accepted to both reserve requested dates/times and to pay for your event: Credit or debit card, PayPal, CashApp, Venmo, or Zelle.  NO REFUNDS will be given if a cancellation by the customer occurs within 10 days of the event. Should cancellation be necessary, please contact us and we will make every effort to reschedule your event without penalty.

 

DAMAGE AND/OR INJURY

Neither Rolling Video Games nor any of its employees, agents, or contractors shall be responsible for any damage to property resulting from a request by the client to park the theater in a specific location. This includes both above-ground and below-ground property/equipment damage. Additionally, Rolling Video Games reserves the right to charge the client’s credit card or invoice client and the client agrees to pay for damages, theft, or loss to the trailer or equipment resulting from accidental, careless, or willful damage of same by the client’s guests. Trailer equipment shall include, but not be limited to, the mobile gaming trailer, seating, video game systems, televisions, game controllers, and game discs. Rolling Video games, their employees, agents, or contractors assume no responsibility for any injuries sustained on the client's property or their designated location. All liability for damages or injuries is the sole responsibility of the client and/or host.

 

FOOD/DRINK

We do not allow any food, drinks, candy, gum, smoking/vaping in the video game theater.

 

INCLEMENT WEATHER

Our theater is equipped to handle all types of weather conditions. However, if severe weather conditions such as excessive heat, strong winds, flood warnings, snow, or ice, pose a risk to you, your guests, our staff, and/or equipment, we reserve the right to reschedule your event. In such cases, we will work with you to find a new date and time for the event without any penalties.


PHOTOS

During your event, our Game Coach may take interior and exterior photos to capture your event moments for memories, which may be used on our website and social media platforms. You are welcome to download any photos of your event from our website and/or social media pages. We will never identify individuals or specific locations. If you prefer that we do not take or post photos, please opt out on the questionnaire you received via email and/or inform the Game Coach before the start of your event.

 

PARKING

Our mobile game theater is designed for street parking with safe sidewalk access for guests. We avoid driveways unless street parking is not possible. If safe parking is unavailable upon arrival, options include moving the party or rescheduling. If the event will be on a hill or narrow street, please inform us before paying the deposit to determine if we are able to accommodate.

 

PRIVACY POLICY

We prioritize safeguarding your privacy and use the information gathered on our sites solely to simplify the booking process. We do not share, exchange, or lease your personal data to third parties.

 

REFUSAL OF SERVICE

We may refuse service to a client if their behavior poses a potential threat to our employees, guests, or equipment. This includes but is not limited to, obvious intoxication, drug use, aggressive language or behavior, and unsafe surroundings. We reserve the right to refuse to start an event and/or terminate an ongoing event. Refunds for refused or terminated events will be considered on a case by case basis.

 

SUPERVISION

The Game Coach will be present on-site to ensure the safety of the company vehicle, game theater, and equipment. They will also serve as a subject matter expert on video gaming for players. However, the Game Coach is not responsible for supervising players' interactions with each other.

Parents or responsible adults are required to be present during gaming parties or events. Guests under 16 require a parent or guardian on the property, while those under 8 require adult supervision in the game theater at all times. The event host must be available in case of any issues. Our team will make every effort to comply with the preferences of parents or adults regarding the types of games or game ratings that are permitted during an event. However, it is the responsibility of each parent or guardian to monitor their child and game choices.

 

TIPPING

Tipping is not required, but it is a great way to show your appreciation to the Game Coach for a job well done. You can tip using cash or debit/credit card, the entire amount will go directly to the Game Coach.
